Verifying and Updating Employee Information

For a faster, more efficient employment verification process, UNC has contracted with Experian Verify, a leading national provider of employment verification solutions for employers. Experian Verify is free to UNC-Chapel Hill and its employees (though an account is required). Please visit the OHR website for more information and step by step instructions.

The Public Service Loan Forgiveness (PSLF) form applies to both current and former University employees. The PSLF process depends on whether the period of employment being certified was continuous or contained a break in service (if the period of certification includes a timeframe during which you were not employed by the University). Please follow the OHR website for more information and step by step instructions.

You can update your home address and phone number at any time in Connect Carolina.

  • Log in to ConnectCarolina
  • Choose Self Service from the drop-down menu at the top
  • Choose the Personal Information tile
  • Choose Addresses on the left

This change will be processed by the relevant University offices, including Payroll and Human Resources. The University will take that update in the campus directory and send this information electronically to all benefit vendors.

If you get married, divorced, or otherwise have a legal change in your name, you must first update you name with the Social Security Administration. Once you have a new social security card, please stop by the HR office in Carroll Hall. It is recommended that you make an appointment with a member of the HR team in advance. Our HR Consultant will make a copy of your social security card and process a name change in ConnectCarolina.

The UNC registrar’s office, located in SASB (Student and Academic Services) building, is responsible for processing student name-change requests. When visiting their office, make sure you bring your new social security card.

As a current employee, you can make changes to your direct deposit using Self Service in ConnectCarolina. You will be prompted to use Duo two-step verification in order to verify your identity before accessing direct deposit. Have your bank routing numbers ready before you log in to Self Service.

You also have the option to split your direct payroll deposit into multiple accounts online. This process is more complex than making a change to a single direct deposit account. Please review and carefully follow these step-by-step instructions.

Pay

SHRA employees are on biweekly ‘lag’ payroll. This means that you will normally receive your paycheck on a Friday two weeks after the end of the bi-weekly work period. Learn more about reporting work time in TIM.

EHRA employees are paid monthly (usually the last business day of the month).

Please follow step-by-step instructions in this quick reference card to update your direct deposit information. You can also set up multiple accounts for direct deposit.

  • Faculty only: when logging into ConnectCarolina, remember to switch your default view from Faculty Center to Self Service by clicking a small down arrow in top left corner.

Your W-2 is available in the ConnectCarolina Self Service menu. Step-by-step instructions and user tips related to viewing and printing W-2 forms can be found on the How to find your W-2 Quick Reference Card (QRC) in ConnectCarolina. Also, remember that 2-Step Verification is required to access your Form W-2.

When printing Self Service W-2, see the ConnectCarolina User Information’s Recommended Browsers page. Some users experience issues when trying to print the Self-Service W-2 directly from Firefox. When using Firefox, either download to PDF first and then print or use one of the other recommended browsers from the link above.

Employees who did not opt out of receiving paper W-2s, will have their printed W-2 mailed via the U.S. Postal Service to the home address listed in ConnectCarolina.

Permanent employees can add/remove dependents from their health insurance plan annually during open enrollment. They can also add or remove a dependent from their plan anytime throughout the year as long as a qualifying life event has occurred. Examples of qualifying life events include birth, marriage, dependent gaining/losing coverage on another plan, etc.

Employees can add/remove a dependent through Self Service in ConnectCarolina under My Benefits. To add/remove a dependent outside of open enrollment, documentation will need to be provided to verify the qualifying life event. Please contact OHR Benefits at (919) 962-3071 for additional information.

Employees should use a Leave eForm through ConnectCarolina Self Service to request leave for family and medical reasons. The new online Leave Request Form applies to requests for leave under the following policies:

  • Family and Medical Leave Act (FMLA),
  • Faculty Serious Illness Leave (FSIL),
  • Faculty Parental Leave (FPL),
  • Paid Parental Leave (PPL),
  • Family Illness Leave (FIL),
  • Voluntary Shared Leave (VSL).

To access the online Leave Request Form:

  • Log in to ConnectCarolina Self Service.
  • Click on the My Benefits tile.
  • Click on Leave in the left menu.
  • Click Submit a Leave Request from the dropdown menu on the left.

After an employee submits a leave request form online, they will receive an automated email confirmation that the request was received and routed to the HR Leave Team for review. The employee’s supervisor and departmental HR Representative will be copied on the email and will have access to view the employee’s leave request online in ConnectCarolina.

Please note that employees cannot make changes to the leave request form once it has been submitted. If there is a need to modify or cancel an existing leave request, please contact the assigned Leave Consultant or email leave@unc.edu. If anything changes (like the anticipated start date for leave), the assigned Leave Consultant will be able to update the submitted form.

Each permanent employee regularly scheduled to work half-time or more receives the same number of paid holidays. Nine and twelve-month faculty generally observe the same holidays as other University employees. However, when classes are scheduled during a normal University holiday, faculty are expected to work when assigned teaching duties.
