Guest Speak Best Practices

MJ Classroom Guest Pre-Visit Guide:

  • All classrooms have a Mac Mini as an instructor machine.
  • If your guest has a Windows device, they can connect to the room AV with Sharelink, and if they have an Apple, they can connect with the Apple TV.
  • Will there be a Zoom aspect to the presentation?
    • If so, everything should be done at the instructor stations.
    • If not, connecting their device to room AV should suffice.
  • Does your guest plan to present a large PowerPoint file?
    • If yes, did they create the presentation on a Windows device?
      • If so, likely, embedded videos will not function.
  • Also, have they emailed you the file, or will they bring the file on an external drive?
    • If emailed, have you saved it to the cloud?
    • If they plan to bring an external drive, have you informed them that all instructor machines are Macs and external drives not formatted to work with Macs will not work?

Hussman Instructor:

Thanks for notifying Hussman IT about your upcoming guest visit. We strive for the best experience for all participants. Here’s what your guest should know in preparation for the class session/s.

  • All Hussman classrooms have a Mac computer. Classroom computers are fully integrated with room AV. Using the built-in room technology is the simplest way to have a successful guest session.
  • If the session has any remote component (e.g., Zoom), the room computer should be the hub (host) for the remote connection.
  • Accessing presentation materials from cloud storage is a best practice recommendation.
  • Guests may bring USB external media and connect to the classroom computer. External drives should be macOS compatible.
  • Embedded video created on Windows may not work as expected on a Mac. Hussman IT is happy to test files on our systems provided we receive them at least 24 hours in advance.
  • Guests may bring personal devices and connect to room AV (wireless only).
    • MacOS and iOS devices connect via Apple Screen Mirroring
    • Windows and Android devices connect via ShareLink app (local admin access required)
  • Please contact Hussman IT via the instructor if you have any technical questions or special considerations.
